How to split a large PDF for email

Divide a large PDF into logical smaller files for email when compression alone would reduce quality too much or the document has natural sections.

Check whether splitting is better than more compression

If a PDF is over an email attachment limit, first decide whether the recipient can accept more than one file. Splitting can preserve quality better than repeatedly applying stronger compression.

Natural sections such as Part 1 and Part 2, separate reports or groups of supporting documents are easier for recipients to understand than arbitrary page chunks.

  • Know the attachment limit
  • Confirm multiple files are acceptable
  • Identify natural sections
  • Keep the original PDF

Plan the page ranges

Open the PDF and decide where each part should begin and end. Avoid splitting a table, form or chapter in the middle when possible.

Estimate how many parts you need based on the original size and the email limit. Exact output sizes can vary by page content.

Create clearly named parts

Use Split PDF to extract each range, then name the outputs consistently such as Report-Part-1-of-3.pdf. Clear names help the recipient reconstruct the intended sequence.

If one part is still too large, compress that specific output rather than degrading every part.

  • Use sequential filenames
  • Keep related pages together
  • Compress only oversized parts
  • Do not omit cover or context pages accidentally

Send and verify every attachment

Open each output before attaching it. Check page count, first and last page and file size. Make sure the email includes every part before sending.

In the message body, tell the recipient how many parts to expect so missing attachments are obvious.
